Editorial Assistant


This is a learning-focused role that provides hands-on experience in medical editing, including administrative/project management, all aspects of editing, and production. You will work closely with senior editors to develop your skills and gain experience in medical communications, ultimately contributing to the successful delivery of client projects.

Key roles and responsibilities

Under the guidance of a senior editor, provide key support to the editorial team and accounts for a range of editorial tasks, including (but not limited to):

  • Congresses and journals
    • Gathering guidelines
    • Corresponding with congress organisers and journals
    • Performing ‘mock’ submissions
    • Actual submissions
    • Submission/publication tracking (i.e., status checks)
  • Reference management (EndNote)
    • Maintenance of EndNote libraries and styles
    • Styling and formatting references in manuscripts
  • Editorial
    • Final reads of simple materials (e.g., abstracts, posters)
    • Checks of journal proofs
    • Help with maintaining style guides
  • Creatives
    • Figure redraw checks
    • Simple figure redraws in PowerPoint
    • Making minor amends to figures drawn in Illustrator
    • Preparing artwork for submission to congresses and journals
    • Slide formatting
  • Production
    • Sourcing local printers for print jobs
    • Post-production logistics
  • Other skills

You should also:

  • Undertake any other tasks, as reasonably required
  • Take responsibility for the management of your own work
  • Follow company procedures with respect to administrative and project-related tasks. To include, but not limited to, daily completion of timesheets, adherence to editorial procedures, and timely and accurate Dropbox and SharePoint file housekeeping
  • Liaise with clients, healthcare professionals, contractors, and any other relevant third parties in a professional, courteous, and efficient manner
  • During day-to-day work and internal and external interactions, consider and promote adherence to our vision and values

Requirements:

  • Bachelor’s degree in life science, English, journalism, or another relevant subject
  • Experience of editing in the medical communications, pharmaceutical or healthcare sectors is ideal, although other publishing background will be relevant. Importantly, excellent written communication skills, attention to detail, solid organisational skills, and a willingness to learn are sought
  • Proficiency in a variety of software including MS Word, Excel, and PowerPoint
